2017 in Review with Scott Wellwood

Scott Wellwood, President of DentalXChange

I can honestly say that 2017 was one of the most eventful in our history. While we have faced many challenges, I am so proud of the way our entire Team has faced them head on, and converted them into opportunities for both personal and company growth.

Throughout the year, our focus has been to broaden the scope of our offerings to all of our stakeholders. We have continued to reduce our dependency on outside entities in some areas, while entering into strategic partnerships where it made sense.

Noteworthy developments include:

  • We have exceeded our forecasted growth in both claims and real-time transactions
  • Print claims have been reduced to an all-time low of less than 4%, facilitated by new EDI relationships with numerous payers large and small
  • Launch of our own Attachment service has rolled out extremely smoothly, with connections to most of our major Payer Partners contracted and in place
  • Launch of our DDS Enroll Credentialing services for both Providers and Payers, including a co-branded Payer portal for Delta Dental of Colorado
  • Rollout of a new DMD service improving functionality and accuracy
  • Expansion of our Merchant Services capabilities including:
    • EMV/FSA/HSA reprograming and implementation
    • PCI, EHNAC, and other security re-certifications
    • Improved Vendor integration with our Practice Management Partners
  • Production and deployment of Training videos for both internal and external audiences
  • Expansion of our Mailroom Services, allowing a Payer to completely outsource the processing of incoming paper claims and other documents, becoming 100% EDI

I truly feel we are uniquely positioned to have a fantastic 2018 and thank you all for your past and ongoing contributions to our success.

Scott Wellwood

Why Are My Dental Insurance Claims Rejected?

The hours wasted into investigating why an insurance claim gets rejected can drive a person crazy and waste many quality hours that could be spent with patients.rejected dental claims

To help alleviate the aggravation, we talked to Lindsey Schurman, Manager of Client Services at DentalXChange, to find out how you can avoid being placed in a straightjacket and get those important claims paid quickly.

What are the top reasons claims are rejected?

The three issues we see most often are:

  1. The provider’s information does not match what is on file with the payer
  2. The patient info does not match what is on file with the payer
  3. The patient is no longer covered under policy

How can these be avoided?

The best way to avoid a rejected claim is to check the patient’s eligibility when they first make an appointment. This is easily done through ClaimConnect’s Real Time Eligibility. After eligibility is checked, make sure the patient’s ID card matches what is in their chart. This will help avoid discrepancies between information on file and what the payer has on record. After a client receives rejection, the advice we share is to verify that all the information matches what is on file with the payer.

When DentalXChange investigates a rejected claim we ask the following questions:

May I please confirm the patient info to make sure we have matching claims info?

Asked the payer to confirm:

  1. The Patient and Subscriber Name
  2. Dates of Birth
  3. Member IDs
  4. Addresses
  5. Genders
  6. Group/Plan numbers
  7. Plan Effective Date

May I also confirm that the correct Provider information listed on the claim is on file?

Ask them to confirm:

  1. Rendering and Billing
  2. Name
  3. NPI
  4. TIN
  5. Address
  6. License number
  7. Any applicable provider ID or Taxonomy code

One of these issues is usually the reason a claim gets rejected.

How does a product like ClaimConnect help?

When submitting a claim through ClaimConnect, the program focuses on minimizing rejections by checking claims for the preventable errors. We call these validation errors. Validation errors prevent claims from being sent when the information does not match what the payer requires. They can range from incorrect procedural codes to incomplete provider information. These errors are flagged and allow you to fix any discrepancies before the claim is submitted to the payer.

This saves a ton of time dealing with rejected claims. Of course, if anyone is having an issue with claims rejections, they can always give us a call. Our customer service representatives will be happy to help resolve any issues you might be having.

Thanks for taking the time to help us, Lindsey!

USPS to Raise Postage, AGAIN! Or, Why DentalXChange Lowered the Price of E-Delivered Statements.

It’s happening again.

As of May 31st, the USPS is increasing the price of postage. Every year the price goes up and this year is no exception. Unfortunately, due to this rise in cost, the delivery of our paper statements will increase from .75¢ to .76¢ per statement.

But we’re not taking this increase sitting down!

To help offset the post office price gouging and to encourage the switch from paper to EDI, DentalXChange will be lowering the cost of our e-delivery statement service from $0.49 to $0.37 per statement!

 That’s .39¢ less than a mailed statement!

To put that in context:

Switching_EPat[1]Let’s say you average 8 patients a day, 5 days a week. At the end of the month you are sending out 160 patient statements. That comes out to $121.60 in postage alone. Now, throw in the cost of printing and paper. Oh, and you have to pay an employee to stuff envelops. Doesn’t anyone remember how George Costanza’s fiancé died?!

E-Patient Statements electronic delivery is safe, fast, easy and now more affordable than ever. Those 160 statements can be e-mailed to your patients, saving you the cost of postage, printing, employee time and those dreaded envelops. Couple E-Patient Statements with PayConnect and you’ll be able to collect payment online!

This helps you get paid FASTER!

So to re-cap, we are lowering the price on our E-delivery service, making it easier for patients to pay you for services rendered and hopefully saving lives from toxic adhesive. This is a perfect opportunity to take advantage of this cost-savings option and not get squeezed by the USPS.

Take THAT post office!

CDA Presents: Anaheim 2014, The Happiest Dental Convention On Earth!

Anaheim really is the happiest place on Earth!

That is the only way we can explain how much fun we had at CDA Presents: Anaheim 2014. We made new friends, shared stories with old ones and introduced people to the best EDI solutions in the dental industry.

We asked Interim Sales Manager, Bassem Bayaa to share his experiences at this years show.

Snapper DentalXChangeHow was CDA Presents: Anaheim 2014?

CDA Anaheim went extremely well for us. We had a lot of people stop by our booths that were very interested in our services and excited about doing e-claims. Attendees really loved Snapper!

What was your favorite part of the convention?

Happy Clients from Whittier DentalI really enjoyed meeting our existing clients face to face. It was great to see them stop by our booth and mention how happy they are with our services. Some of them have been using us for a very long time and it’s really nice to see that our hard work is paying off.

I loved it when our existing clients would bring their friends by so we could speak to them about our services. That really showed me how loyal and happy our customers are.  We ran out of our Happy Client pins!

Also, I was able to meet Jordan Farmar from the Lakers!

Would you recommend our clients attend CDA Presents?

Absolutely! CDA is always a blast. It is something people should experience for themselves. I’m already looking forward to CDA San Francisco! CDA Presents: Anaheim 2014

We hope to see all of you at the next CDA show, September 4-6 in San Francisco. If you would like to attend CDA Presents: San Francisco 2014, click here to get information on tickets.
